When you're behind the chair, your verbiage is just as important as your technical skills. The way you communicate with your clients can make or break their experience. By focusing on three key aspects—active listening, clear and confident explanations, and positive, reassuring language—you can create a connection that not only builds trust but also ensures your clients feel informed and at ease. Whether you're discussing a new cut, color, or treatment, mastering your communication can turn a routine appointment into a memorable, personalized experience.


Active Listening and Reflective Language

The first thing you ask when sitting a client down is, “What are we doing today?” While you may already know the general purpose of the appointment, this question is your chance to understand the client’s specific vision. It’s not just about confirming the service, but about actively listening to what they’re hoping for. Even though it might seem simple, this step is crucial in making the client feel heard and understood.

When they respond, listen carefully and reflect on what you've heard. For example, say something like, “So, I hear you want [this look] today. Let’s talk about the best way to achieve that for you.” This gives them confidence that you're on the same page. As you do this, don’t forget to offer your expert advice. If their goal isn’t entirely realistic—like aiming for platinum blonde on hair that’s too dark or damaged—it’s important to set expectations gently. Instead of promising something that might not be achievable, offer your guidance on what’s possible and recommend options that will still make them feel great, while not compromising their hair health.

The key here is to balance listening to their desires with your professional judgment, ensuring they feel confident in your expertise. By being realistic about what you can do, you create trust and avoid disappointments. It’s all about under-promising and over-delivering, so they leave the chair feeling content and excited about their hair.


Clear and Confident Explanations

When it comes to communication, it’s essential that you and your client are fully aligned on their vision to achieve the best possible results. You need to clearly explain what you’re planning to do and how it will look so they have the chance to share their thoughts and feedback. Being both clear and confident in your language is key to this. Use language that feels approachable, showing the client that you’re not only knowledgeable but also confident in your skills while keeping it simple enough for them to understand. This helps avoid any misunderstandings or miscommunications. Take the time to ask all the right questions, request inspiration photos, and make sure you fully understand what the client wants and what you can realistically deliver. Open, honest dialogue ensures everyone is on the same page and sets the stage for a successful outcome.


Positive and Reassuring Language

Finally, always be mindful of your tone when speaking to the client. Using positive and reassuring language helps build trust and confidence. Offering reassurance, especially during consultations, and making thoughtful suggestions will make the client feel safe and comfortable in your care. As a client, you would want to feel confident and at ease with the person working on your hair, so it’s essential to put yourself in their shoes. You wouldn’t feel comfortable sitting in someone’s chair if they were expressing doubt or negativity about how your hair would turn out. Even small comments throughout the appointment—like, “This is going to look amazing on you,” or “This shade is going to suit you perfectly”—can get your client excited about the result and ease any nerves, especially if you’ve had to make adjustments during the appointment.
